Project Coordinator, Relocations

We are seeking a proactive and organized Project Coordinator to oversee the successful coordination, planning and execution of large-scale move management projects. This role collaborates with the Project Management team to ensure seamless operations, adherence to schedules and budgets, and alignment with organizational standards. You can expect to be running schedules, budgets, and documentation, as well as leading move crews and project activity. You will be interacting with vendor partners, contractors, project team members and clients.

About the Role

We are seeking a proactive and organized Project Coordinator to oversee the successful coordination, planning and execution of large-scale move management projects. This role collaborates with the Project Management team to ensure seamless operations, adherence to schedules and budgets, and alignment with organizational standards. You can expect to be running schedules, budgets, and documentation, as well as leading move crews and project activity. You will be interacting with vendor partners, contractors, project team members and clients.

Position Goals

  • Professional and reliable support to clients, PM’s and projects

  • Embrace team and company collaboration

Role/Responsibilities

  • Support PMs as requested, including report generation, schedule management, budget management, meeting note-taking, and other administrative tasks

  • Supervise on-site activities, such as contractor activities, client helpdesk, job walks, Day 1 liaison, and more

  • Attend and participate in client and project meetings when requested

  • Work with third-party vendors on move, project, and related activities, ensuring project requirements, schedules, and client expectations are met

  • Create and maintain a client roster for each project.

  • Utilize Visions’ processes and templates in support of PMs

  • Participate in Visions’ meetings, trainings, and events as required

  • Always be an exemplary Visions Management representative

About You

You are organized, adaptable, and eager to learn, with the ability to manage multiple assignments concurrently. You find calm in chaos, leveraging your experience and capabilities to remain steadfast and focused when challenged. You’re known for your drive, client service and your meticulous attention to detail.

Requirements

  • Minimum of 2 years’ experience with facilities, construction or relocation projects; or 3 years’ experience in facilities, workplace, or office services

  • One or more years in a client facing or customer service role

  • Experience with MS Office and SmartSheet, or other project management software

  • Able to travel to and from project sites throughout the Bay Area

  • High school diploma

  • Good interpersonal skills in an environment of tight deadlines, frequent interruptions, and unexpected events

  • Ability to prioritize deadlines and tasks

  • Highly dependable, consistent, and thorough

  • Strong written, verbal, interpersonal communication, and organizational skills
