Project Manager, Life Sciences

The Life Science Project Manager will manage key Life Science and Healthcare projects and is a subject matter expert on the programming, planning, execution, and closeout of Life Science specific projects.

About the Role

In the role of Project Manager, Life Sciences, you will manage key laboratory and healthcare relocation projects from programming and planning through execution and closeout. This position requires strong knowledge of lab equipment and environments, as well as the ability to effectively communicate with scientists, lab managers, end users, and vendors. The Project Manager oversees scope, schedule, budget, and vendor coordination while ensuring all project activities align with Visions’ best practices and client-first philosophy.

Candidates for this role are expected to demonstrate strong organizational and technical skills, manage projects independently, and collaborate with internal and external stakeholders to ensure success.

Position Goals

  • Successfully plan and manage life sciences relocations of varying size and complexity

  • Contribute as a key member of the Life Sciences team in scope, fee, and schedule development

  • Work with the team to develop new avenues of revenue for the Life Sciences vertical

  • Ensure client satisfaction and alignment with Visions’ client-first approach

  • Execute all move management activities in accordance with Visions’ processes and standards

  • Enhance best practices and ensure compliance with KPIs

  • Accurately manage project data, budgets, and reporting

  • Support both professional and personal growth through project experience

  • Meet assigned financial targets

Role/Responsibilities

  • Work with the Executive Team to prepare project fee proposals and scope documents

  • Act as a primary point of contact between Visions Management and the client

  • Manage all aspects of contracts including fee negotiation, scheduling, inventory, RFP development, oversight, and closeout

  • Lead and participate in planning meetings with clients, contractors, and key stakeholders

  • Host move/planning-related project meetings and ensure goals are met

  • Develop and implement project plans, budgets, and schedules through collaboration with stakeholders

  • Prepare and update status reports, trackers, invoices, and documentation for due diligence

  • Consult with stakeholders on lab space planning, equipment specifications, and relocation requirements

  • Prepare space plans utilizing Bluebeam or AutoCAD

  • Oversee vendor coordination (movers, riggers, furniture, technology, etc.) to ensure compliance with standards

  • Proactively manage project-related issues to keep projects on scope and on budget

  • Ensure project documentation is complete at initiation, execution, and closeout

  • Promote Visions Management’s services to prospective clients

  • Adhere to Visions’ policies, including time & expense reporting, ethics, and business practices

  • Microsoft Office Suite with strong Excel and Project skills

  • AutoCAD 2020 and Bluebeam

Requirements

  • 5+ years of experience working in clinical or research environments in a project management role

  • Advanced knowledge of architectural planning and design processes, construction documentation, and code requirements

  • Expert knowledge of laboratory industry benchmarking, space planning, equipment programming, and utilities coordination

  • Experience working with end users to develop process flows, adjacencies, and planning for laboratory environments

  • Strong technical knowledge to guide discussions on lab space and equipment requirements

  • Excellent written and verbal communication skills

  • Highly organized with strong analytical and problem-solving skills

  • Strong interpersonal skills with the ability to engage executive-level clients and colleagues

  • Ability to multi-task and work independently or as part of a team

  • Flexibility with work hours, including nights and weekends, and ability to travel frequently to project sites throughout the Bay Area

  • Ability to perform physical tasks associated with inventory management, including standing, walking, and handling equipment

  • Ability to safely lift and carry up to 40 lbs. as required during project activities
